PROPERTY & FACILITIES TEAM

Objectives:

  • Ensures the organization’s assets such as the museum structure, grounds, and equipment are routinely maintained and in a ready state to efficiently support the operations of the FMHM

  • Assists with the regular inspections, recommended maintenance, and contractual agreements associated to FMHM property and equipment. Conducts a quarterly inventory to ensure that museum equipment is accounted for, to include keeping a serialized list of items owned by the museum

  • Conducts all interfaces with operational support providers with honesty, integrity, and respect

Team Participants and Eligibility:

  • Team Lead is appointed by FMHM Board Chair

  • Team participants must be FMHM members

  • Team advisory or subject matters experts may be utilized from time to time for information or guidance however these individuals are not considered team members

  • Team members are solicited and recommended to serve by the team Lead with final approval by the FMHM Board of Directors

  • Team members serve at the discretion of the FMHM Board with no established term limitations and are approved for participation annually by the FMHM Board

Property & Facilities Team Responsibilities:

  • Assist staff, officers, Directors, and the Executive Director with the acquisition and maintenance of corporate properties and facilities

  • Conducts a quarterly equipment inventory

  • Submit recommendations to the Board on leases, licenses, insurance, real property purchases and similar related matters

  • Assists the FMHM Executive Director with responses to property related incidents to mitigate the short-term response and develop a recommendation to address the long-term solution

  • Oversees the operational support providers and volunteers responsible for upkeep of the FMHM property and equipment. Does this include service contracts? Cleaners, pest control, alarm company, etc.

  • Completes all necessary forms and compiles operational related information and documentation is filed in the appropriate place

  • Provide updates and recommendations on a regular basis to the FMHM Board of Directors to keep the organization abreast of operational related activity

  • Record team meeting minutes and provide to the FMHM Secretary

Team Meeting / Communication Schedule

  • Communication to team members is on an as needed basis with no regularly scheduled monthly meetings

  • Meetings can be called as needed for emerging issues

Property Ownership Disclaimer

  • All documents, paperwork created and maintained by the team is to be submitted in a timely manner to the FMHM Executive Director for storage at the FMHM. All documents are the property and ownership of the FMHM
